Finance & Accounting
Full double-entry accounting from journal entry to financial statements. One ledger, one truth, every transaction traceable.
Who this is for
Finance managers, accountants, auditors, and business owners who need clean books, real-time visibility, and audit-ready records — without maintaining separate spreadsheets or reconciling disconnected systems.
If your organisation invoices customers, pays suppliers, manages a bank account, or reports to a board, regulator, or funder, this module is your operational backbone.
What you can do
Chart of Accounts
Configurable chart of accounts with unlimited depth. Create account groups, control accounts, and sub-accounts. Map accounts to departments, projects, or cost centres for management reporting.
Journal Entries
Manual and automatic journal entries with approval workflows. Every entry is immutable once posted — corrections are made through reversal journals that preserve the full audit trail.
Accounts Receivable
Customer invoices, credit notes, receipts, and payment allocation. Age receivables by period. Generate customer statements. Track outstanding balances by customer, branch, or territory.
Accounts Payable
Supplier invoices, payments, and credit notes. Match invoices to goods receipts. Age payables. Generate payment batches. Track withholding tax obligations.
Bank Reconciliation
Reconcile bank statements against ledger entries. Match transactions automatically or manually. Identify unreconciled items. Maintain multiple bank accounts across currencies.
Multi-Currency
Operate in UGX, KES, TZS, RWF, and other currencies simultaneously. Maintain exchange rate tables. Record realised and unrealised gains/losses. Report in functional or presentation currency.
Budget Management
Set budgets by account, department, or project. Track budget vs actual with variance analysis. Lock budgets after approval. Support multiple budget versions per fiscal year.
Financial Statements
Generate profit and loss, balance sheet, cash flow statement (IAS 7 format), and trial balance. Export to PDF or Excel. Configurable reporting periods. Departmental and consolidated views.
How it connects
The accounting module is the centre of gravity. Every other module posts to the general ledger automatically:
- Sales → revenue recognition and debtor entries when invoices are issued
- Inventory → stock valuation adjustments and cost-of-goods-sold postings
- Procurement → creditor entries when supplier invoices are matched
- HR & Payroll → salary, NSSF, PAYE, and net pay postings on payroll approval
- Manufacturing → work-in-progress and finished goods postings
- Projects → project cost accumulation and revenue recognition
Controls and permissions
Maker-Checker
Journal entries require approval before posting. Configure approval thresholds by amount or account.
Period Locking
Close accounting periods to prevent backdated entries. Reopen with audited approval only.
Audit Trail
Every transaction is immutable. The INSERT-only audit log records who did what, from which IP, at what time.
Segregation of Duties
Separate permissions for entry, approval, posting, and reporting. No single user can complete an entire transaction cycle.
