Projects & Work Planning
Track projects from initiation to closure. Allocate resources, record time, manage budgets, and generate project profitability reports.
Who this is for
Project managers, team leads, consultants, and business owners who deliver work on a project basis. Whether you run construction projects, consulting engagements, donor-funded programmes, or internal initiatives, this module keeps projects on time and on budget.
If your organisation bills by the hour, tracks milestones for donors, manages multiple concurrent projects, or needs to know which projects are profitable and which are leaking money — this module gives you that visibility without a separate project management tool.
What you can do
Project Register
Create projects with start/end dates, budgets, responsible managers, and client references. Track project status from initiation through planning, execution, and closure.
Task Management
Break projects into tasks and subtasks. Assign responsibilities. Set due dates and dependencies. Track completion status. Generate task-level progress reports.
Resource Allocation
Assign team members to projects and tasks. Track allocation percentages. Identify over-allocated resources. Balance workload across the team.
Timesheets
Record time spent on projects and tasks. Approve timesheets through workflow. Use timesheet data for project costing and client billing.
Project Budgeting
Set project budgets by category (labour, materials, expenses). Track budget vs actual with variance analysis. Alert when spending approaches budget limits.
Project Billing
Generate client invoices from timesheets and project milestones. Support fixed-price and time-and-materials billing models. Track billed vs unbilled amounts.
Milestone Tracking
Define project milestones with target dates and deliverables. Track milestone completion. Generate milestone status reports for clients and donors. Link milestones to billing triggers.
Project Profitability
Compare project revenue against total cost (labour, materials, expenses). Calculate profit margin per project. Identify loss-making projects early. Generate profitability reports by client, type, or manager.
How it connects
Projects draw resources from HR, materials from procurement, and post costs to accounting. Every entry flows through the ledger:
- HR → resource availability from leave and attendance data, labour rates for costing
- Accounting → project costs accumulated in GL, project revenue recognised on billing
- Sales → project invoices generated through the sales module
- Procurement → project-specific purchases tracked against project budgets
Controls and permissions
Budget Authority
Project budgets require project manager and finance approval. Budget overruns trigger alerts. Exceeding budget by more than 10% requires director sign-off.
Timesheet Approval
Timesheets require supervisor approval before they count toward project costing. Unapproved time is excluded from billing and cost calculations. Weekly submission deadlines enforced.
Billing Review
Project invoices generated from timesheets require project manager review before issuance. Prevents overbilling and ensures work was delivered before invoicing.
Audit Trail
Every project creation, task assignment, timesheet entry, budget change, and billing event is logged with user, timestamp, and IP. INSERT-only log. No project record can be silently altered.
