Sales & Customer Operations
From first quotation to final receipt. One customer record, one order pipeline, one invoice register — connected to inventory and accounting in real time.
Who this is for
Sales managers, account executives, cashiers, and business owners who need visibility of the entire sales cycle — from quotation to collection. Whether you sell from a counter, through field agents, or via online orders, this module handles the transaction and keeps the ledger current.
If your business issues invoices, manages a customer base, runs a retail point of sale, or employs field sales agents with commission structures, this module replaces the spreadsheets and disconnected tools with one governed system.
What you can do
Quotations & Sales Orders
Create quotations, convert to sales orders, and generate invoices. Track quotation-to-order conversion rates. Support partial deliveries and backorders.
Customer Invoices
Generate invoices with tax calculations, discounts, and multi-currency support. Print or email to customers. Track outstanding balances and payment status.
Delivery Notes
Confirm deliveries against sales orders. Stock is deducted automatically on delivery confirmation. Generate delivery note printouts for dispatch.
Customer Management
Maintain a customer master with contacts, credit limits, payment terms, price lists, and statement preferences. View customer history, outstanding balances, and transaction ledger.
Point of Sale
Touch-optimised POS terminal for retail and hospitality. Supports cash, mobile money, and card payments. Barcode scanning. Multi-terminal per branch. End-of-day cash reconciliation.
Sales CRM
Leads and opportunities pipeline. Interaction logging. Contact management. Sales forecasting. Quotation conversion tracking. Performance analytics by rep, territory, and product.
Agent Management
Register field sales agents. Assign territories and targets. Track daily sales per agent. Calculate commissions (flat rate, tiered, product-specific). Agents view their own performance through the self-service portal.
Territory Management
Define sales territories. Assign agents and customers to territories. Track sales performance by territory. Generate territory-level reports.
How it connects
The sales module sits at the front of the order-to-cash cycle. Every transaction flows downstream automatically:
- Inventory → stock deducted on delivery confirmation, stock checked on order entry
- Accounting → revenue and debtor entries posted on invoice approval
- Procurement → backorders trigger purchase requests
- Sales Agents → agent stock, commissions, and remittances managed separately
Controls and permissions
Credit Limits
Enforce customer credit limits at order entry. Override requires manager approval. Overdue accounts flagged automatically.
Price Authority
Standard price lists with discount bands. Discounts beyond authority require approval. All overrides logged with reason and approver.
Invoice Approval
Invoices above configurable thresholds require approval before posting to accounting. Draft invoices can be amended; posted invoices are immutable.
Audit Trail
Every quotation, order, invoice, and credit note is logged with user, timestamp, and IP. INSERT-only audit records. No transaction can be silently deleted.
